Traditionally, office design has relied on assumptions rather than data. But with AI, businesses now have access to detailed insights on employee behavior and workspace usage.

This data helps optimize office layouts, ensuring that teams collaborate effectively and that spaces are designed to enhance productivity.

According to JLL’s Global Real Estate Technology Survey, AI is among the top three technologies shaping commercial real estate in the coming years.

Similarly, Deloitte’s Commercial Real Estate Outlook reveals that 70% of real estate investors are either already investing in AI-powered design solutions or plan to do so soon.

From Guesswork to Data-Driven Design

Historically, office layouts were decided by architects based on intuition rather than measurable data. But that’s changing.

“The biggest problem is that office design has never been data-driven,” says Honghao Deng, CEO of Butlr Technologies, an MIT spinout focused on AI-powered workplace solutions. “It was always about an interior design firm making assumptions, without actually measuring the outcome.”

Now, companies like Carrier, Snowflake, and Verizon are using AI and smart-sensing technologies to create workspaces that adapt in real-time to employee needs. These companies are pioneering a shift toward offices that are not only visually appealing but also highly functional.

AI: Enhancing, Not Replacing, Human Creativity

AI isn’t replacing architects, it’s enhancing their capabilities. Arunkumar Thirunagalingam, a senior manager at healthcare giant McKesson, explains, “AI works at a scale and speed humans can’t match.

It doesn’t replace architects but complements them by processing massive datasets, spotting trends, and offering solutions faster than ever.”

Tools like Autodesk’s Spacemaker and Sidewalk Labs’ Delve are leading this evolution, allowing architects and developers to test multiple design scenarios and prioritize sustainability.

Key AI-Driven Trends in Office Design

AI is driving several key shifts in how offices are structured:

  • The Rise of Huddle Spaces – Smaller, informal meeting spaces are now more popular than large conference rooms, encouraging spontaneous collaboration.
  • Flexible Workspaces – Offices need to support both collaborative work and focused, private tasks. AI helps identify the right balance.
  • Energy Efficiency – Smart AI tools can monitor space usage and optimize energy consumption, reducing costs and environmental impact.

Creating Workspaces Employees Love

As companies navigate hybrid work and return-to-office policies, AI offers solutions for making offices more appealing. Deng shares that after redesigning his company’s office based on AI-driven usage data, voluntary office attendance increased by 200%.

Looking ahead, Thirunagalingam envisions “dynamic, adaptive” workplaces where layouts adjust in real time based on employee needs. “Imagine offices that change layouts or features based on how teams work and what they need most,” he says.

But it’s not just about efficiency or cost-cutting. Deng emphasizes that data-driven office design should enhance employee experience: “We spend so much time in the workplace. It should be a space that fosters innovation, collaboration, and well-being.”
