Paychex vs Rippling (2026): Pricing, PEO and Which Fits Your Team
Paychex is the safer pick for US small businesses that want payroll, tax and benefits handled with people on call, and it is the only one of the two with a published entry price. Rippling is the better pick when payroll, HR, devices and app access should run from one employee record, or when you hire outside the US.
Paychex or Rippling: which should you choose?
Choose Paychex if you run a US small business that wants payroll, tax filing and benefits done for you, with a payroll specialist or PEO behind it. Choose Rippling if HR, payroll, laptops and app access should share one employee record, or you hire abroad. Paychex publishes a $39 plus $5 entry plan; Rippling starts at $8 per employee plus a base fee.
Verdict from HR Stacks editors, based on vendor pricing pages and both full reviews.

Paychex vs Rippling at a glance
Every figure below comes from Paychex’s and Rippling’s own pricing, product, security and promotion pages, checked in October 2026. Both vendors quote most of what they sell, so “Quote only” appears often, and we have not filled those gaps with third-party estimates. Shaded cells mark the product that leads on that row.

The core difference: a payroll service vs an employee platform
Paychex sells payroll as a service. You pick a rung on its plan ladder, from a $39 starter for tiny teams up to a full PEO where Paychex becomes the co-employer, and each rung adds more human help: a payroll specialist, an HR business partner, a safety specialist. Most buyers compare it with other payroll software and PEO companies, and that is where it is strongest.
Rippling sells software that starts with the employee record. Payroll is one module next to device management, app access, spend and EOR, and each one reads the same data, so a hire or a termination flows everywhere at once. That makes Rippling closer to an HRIS with payroll inside than to a payroll bureau, and it is why IT teams often have a say in the purchase.

How Paychex and Rippling score
Our Paychex and Rippling reviews use category-specific parameters, and only 4 of the 8 mean the same thing in both, so those are the four shown here. The rest don’t line up: Paychex scores 4.4 on tax compliance and 4.4 on HR and benefits, while Rippling scores 4.4 on IT and device management and 3.8 on global coverage. On the shared rows Rippling leads three, and Paychex holds the one many small businesses care about most: support.
Paychex vs Rippling pricing, and what you actually pay
Neither vendor shows a full price list. Paychex publishes one plan, Flex Essentials at $39 a month plus $5 per employee, and puts “Request pricing” on Basic, Foundations, Advanced, Complete and both HR packages. Rippling publishes a starting point of $8 per employee per month plus a monthly base fee, and quotes every module, including payroll. Many comparison pages still list Paychex Select and Pro as the main plans and quote a fixed Rippling base fee; neither appears on the vendors’ current pricing pages.
At list price the two entry points cross at 13 employees: below that, Rippling’s $8 is cheaper before its base fee; above it, Paychex Essentials is. The fees around the core plan move the bill more than that gap does.

12-month cost at three team sizes

|---|---|---|---|
| 5 employees | $768 | $480 | $288 |

Published entry prices only, for teams under 20 (the size Paychex builds Essentials for). Rippling’s column excludes its unpublished base fee and its payroll module, which is quoted on top, so the real Rippling payroll bill is higher than shown. Paychex’s column excludes tax administration fees, year-end forms and setup. At 19 employees Paychex costs about $11 less per employee a year.

Paychex vs Rippling features compared
On payroll and benefits the two are closer than their marketing suggests: both calculate, file and pay federal, state and local taxes, and both run a PEO. The gap opens on everything around payroll. Rippling’s device, identity and spend tools have no Paychex equivalent, while Paychex’s own 401(k) and insurance agency give it more in-house benefits depth.

Where each one works: payroll, PEO and hiring abroad
For a team that is entirely in the US, coverage is close to a tie: both file federal, state and local payroll tax and both run a PEO. The split comes when you hire abroad. Rippling runs its own EOR and global payroll, while Paychex hands international hiring to its partner G-P, which means a second contract and a second system.
Taken from Paychex’s payroll, PEO, global solutions and security pages and Rippling’s pricing, PEO, global payroll and security pages, October 2026. Rippling’s 80-country EOR figure comes from its own product update; it shares the full country list during sales.
Implementation and support
Paychex sells support as part of the plan: the higher the tier, the more named people you get. Rippling relies more on software and makes bold support claims of its own, but its review scores lag, and that gap shows in our scoring (3.5 vs 3.2). If your office manager runs payroll and wants a person who knows the account, that difference matters more than any feature row.
Paychex
- Setup
- Essentials has no cost or obligation until your first payroll. Bundles carry setup fees, amounts not published.
- Go-live
- A sales-led setup; once live, Paychex says a payroll run takes as little as 30 seconds.
- Support model
- Online, Enhanced and Premium tiers. Premium adds advisors who know your business and a payroll specialist. PEO clients with 10+ staff get a client advocate, 200+ a relationship manager.
- Employee access
- Paychex Flex app and self-service; phone, chat and email support on all plans.
Rippling
- Setup
- Each module is configured on its own. Payroll alone is quick; payroll, IT and spend together take longer.
- Go-live
- Rippling says payroll runs in 90 seconds once configured.
- Support model
- Advisors and in-country experts. Rippling claims over 90% CSAT and says it won’t put you on hold.
- Employee access
- Rippling app for employees; our review found support is routed mainly through admins.
Paychex or Rippling: which one fits your situation?
Most buyers in this matchup are US employers with 5 to 200 staff, and the answer usually turns on two questions: who runs payroll day to day, and whether IT is part of the purchase. One of these four cases ends with neither product.
Family-owned restaurant group with hourly staff
Hourly pay, tips, garnishments and multi-state filing are Paychex’s core business, and a payroll specialist means the office manager has someone to call before cut-off. Rippling’s device and app tools would sit unused here.
Remote software company adding staff every month
Each new hire needs a configured laptop, app logins and payroll from day one, and each leaver needs access cut the same afternoon. Rippling does that from one record; with Paychex you would buy and wire up a separate IT tool.
US company hiring its first engineers in the UK and Poland
Rippling’s own EOR covers both countries and keeps overseas staff on the same record as the US team. Paychex would refer you to its partner G-P, which works but means a second contract, a second login and separate reporting.
Small agency that wants a PEO priced up front
Both Paychex PEO and Rippling PEO are quote only. Justworks publishes its PEO at $79 per employee per month, so you can budget benefits access and compliance support before talking to anyone.
Where Paychex and Rippling fall short
These are the weak spots that matter when the two are on the same shortlist. Each review page has the full list of pros and cons.
Paychex
- Fees beyond the packageSetup, delivery, NSF and premium processing fees exist, and Essentials charges extra for tax administration and W-2s.
- No IT or device toolsOnboarding stops at HR and payroll. Laptops and app access need a separate system.
- International hiring is outsourcedStaff abroad go through G-P, not Paychex, so your data splits across two providers.
Rippling
- Hard to price in advanceOnly the $8 starting rate is public. The base fee and every module, payroll included, are quoted.
- Support trails the productOur support score is 3.2, the lowest of its eight parameters, and public reviews describe slow fixes on urgent payroll issues.
- Bills grow with modulesThe modular model that makes Rippling flexible also makes the total hard to forecast as you add products.
What users say about Paychex and Rippling
Both samples are large enough to trust the patterns. Rippling’s reviewers are mostly admins at tech-forward companies; Paychex’s include many small, non-tech businesses, and its lowest scores come from billing and support complaints rather than the payroll engine itself.

Praised for
- One login for everything. Payroll, benefits, devices and apps in one place.
- Automation that holds up. Onboarding and offboarding run without manual steps.
- Clean interface. Little training needed for daily tasks.
Criticised for
- Costs that climb. Module pricing and setup fees add up.

- Heavier setup than expected. Multi-module rollouts take real admin time.
Switching between Paychex and Rippling
Switching US payroll mid-year means carrying year-to-date wages and tax data across, so the cleanest move is at a quarter end, ideally 1 January. If you are on either PEO, leaving also means moving benefits and workers’ comp to a new plan, which adds weeks.
Paychex to Rippling
Moderate effort- Check your Paychex agreement end date; promotions require a one-year term.
- Export year-to-date payroll, tax filings and employee records from Paychex Flex.
- Rippling loads YTD totals and runs a parallel payroll before go-live.
- Move 401(k) and benefits plans, which often stay with their own provider.
Rippling to Paychex
Higher effort- Check the term and notice period on your Rippling order form.
- Export payroll history and employee records from Rippling.
- Replace the IT, device and app tools Paychex doesn’t offer.
- Move any staff abroad from Rippling’s EOR to G-P on new contracts.

Paychex is the better payroll service. Rippling is the better employee platform.
If the job is paying a US team correctly, filing taxes and offering decent benefits with people you can call, Paychex does it with decades of scale and a published entry plan. If the job is running HR, payroll, devices and apps as one system, and perhaps hiring abroad, Rippling is the stronger product, provided you get every module priced before you sign.

Paychex vs Rippling: FAQs
Is Paychex or Rippling cheaper?
At published entry prices it depends on headcount. Paychex Flex Essentials costs $39 a month plus $5 per employee; Rippling starts at $8 per employee per month plus a base fee it does not publish. The two break even at 13 employees before Rippling’s base fee, and Rippling’s payroll module is quoted on top. Above roughly 13 staff, Paychex Essentials is the cheaper published option.
Does Paychex publish its prices?
Only for one plan. Paychex Flex Essentials is listed at $39 a month plus $5 per employee for businesses with fewer than 20 employees. Basic, Foundations, Advanced, Complete, HR Pro and HR PEO all show Request pricing on Paychex’s site.
Are Paychex Flex Select and Pro still the main plans?
Not on Paychex’s current pricing pages. The payroll packages shown in October 2026 are Basic, Foundations, Advanced and Complete. Select, Pro, Enterprise and Enterprise+ appear only in Paychex’s promotion terms as qualifying bundles, so existing clients may still be on them.
What does Rippling cost?
Rippling says plans start at $8 per employee per month with a monthly base fee, and that most products are priced per employee. It does not publish the base fee or the price of payroll, PEO, EOR, IT or spend modules. Every deal is a custom quote.
Which is better for a PEO, Paychex or Rippling?
Paychex has the longer track record: more than 2.5 million worksite employees and over 30 years in PEO, with named carriers such as Aetna and MetLife. Rippling PEO covers medical, dental, vision, 401(k), workers’ comp and EPLI, and lets you leave the PEO without changing software. Both quote PEO prices.
Can Paychex or Rippling pay employees outside the US?
Rippling can, with its own global payroll, EOR live in 80 countries and contractor payments in 185+ countries. Paychex offers international hiring through a partnership with G-P, so overseas staff sit with a second provider.
Is there a free trial for Paychex or Rippling?
Neither offers a free trial. Paychex Essentials has no cost until your first payroll, and Paychex is running up to six free payroll months for new clients with 1 to 250 employees who sign up by 31 October 2026 on a one-year agreement. Rippling gives eligible US VC-backed startups six months free.
Which has better customer support?
Paychex, on our scoring: 3.5 vs 3.2. Paychex sells support tiers up to a dedicated payroll specialist, and public reviews praise named specialists while criticising long holds. Rippling claims over 90% CSAT, but public reviews say urgent payroll issues can be slow to resolve.
